Reservations

It is not my class’ reunion year.  May I still attend Alumni Weekend?
Certainly!  We welcome all alumni to return for Alumni Weekend.  Alumni Weekend booklets and reservation materials are not mailed to non-reunion classes, so please call the Office of Alumni Relations at (330) 263-2533 to request one. 

When will I receive my reservation materials?
You will receive the Alumni Weekend booklet and reservation materials in early April.  You may also download them from our Web site.

What is the reservation deadline?
May 23, 2008 is the reservation deadline.

May I register to attend the reunion after the May 23rd reservation deadline?
A limited number of event tickets will be available after May 23rd.  These reservations are processed on-site during the weekend in Lowry Center Room 119 and are on a first come, first served basis.  We strongly suggest you make your reservations prior to the May 23rd  deadline. 

May I cancel my reservations and obtain a refund?
Refunds will be made for fees paid for campus lodging, meals, and other events if the Office of Alumni Relations receives your cancellation by May 23, 2008. 

Is it possible to submit my reservation form on-line?
Unfortunately, on-line reservations are not an option at this time.

Weekend Activities

I can only attend one day of Alumni Weekend.  Which is the best day to attend?
Saturday typically has the largest attendance for all reunion classes.  However, many exciting activities occur on Friday as well.  The Class of 1958 will begin their activities on Thursday night, with their 50th reunion celebration on Saturday evening.  The Class of 1983 will have their 25th reunion celebration on Saturday evening. 

What should I wear?
Dress is fairly casual for the Weekend.  However, check the locations of your class events.  If you have an event at the Wooster Country Club or at Kittredge Dining Hall, you may want to wear business casual or business attire.

When are the faculty lectures?
The faculty lectures are usually on Friday – with one in the morning and one in the afternoon.  Also on Friday, the Friends of the Library hold their annual meeting which includes a faculty guest speaker. 

Will I have the opportunity to hear President Cornwell speak?
Yes!  President Cornwell will address the alumni at “A Conversation with President Gran Cornwell” at 2:30 pm on Saturday, June 7th.  After providing a brief update on the past year, President Cornwell will open the floor to alumni for a question and answer session.  President Cornwell will also speak at the Annual Meeting of the Alumni Association on Saturday morning, as well as at the Scots Forever Dinner on Friday evening.

Will the pool, fitness center, and gym be available during the Weekend?
Typically, all three facilities are available for alumni use during the Weekend.  Specific hours will be listed in the updated schedule you will receive when you arrive on campus. 

Will I be able to check my e-mail/have Internet access while on campus?
Yes.  In The Wired Scot, an internet café, is located on the ground floor of Lowry Center.  The Wired Scot will be open for Alumni Weekend during the hours that Lowry Center is open.  Access to the Internet is not password protected at The Wired Scot.  In addition, the majority of Wooster’s campus is set up for wireless service.

Food and Beverages

I have special dietary requirements.  Will food options be available at all of the events?
When planning menus, we try to offer a great variety so that all guests get their fill!  Vegetarian options are available at all events.  If you have a serious food allergy or strict dietary requirements, we ask that you specify this on your reservation form.  We will consult with our caterers and have meals specially prepared for you.  Because of the large number of guests on campus during the Weekend, we cannot accommodate dietary preferences such as low-carb diets.

Is alcohol served on-campus as a part of weekend activities?
Yes.  The Alumni Association secures a permit from the State of Ohio Division of Liquor Control to be able to provide beer and wine throughout the weekend.  Most evening events on Friday and Saturday have beer and wine as beverage options.  Non-alcoholic beverages are always offered along with beer and wine.

Lodging

What is the cost of on-campus lodging? 
Residence hall rooms are $35 per night.  Reservations for on-campus housing must be made by the May 23rd deadline.  There will be no on-site registration for housing.

Where will I stay on-campus?
Alumni are housed together with their reunion classes.  The housing assignments for 2008 are:
Bornhuetter Hall:  Classes of 1933, 1938, 1943, 1948 and 1953
Luce Hall:  Class of 1958
Compton Hall:  Classes of 1963 and 1968
Andrews Hall:  Classes of 1973 and 1978
Kenarden Lodge:  Classes of 1983 and 1988
Holden Hall – Classes of 1993, 1998 and 2003

May I stay near my friends?
Though we cannot accommodate all requests, please indicate such preferences on the reservation form.  All parties should submit reservation forms with the same requests. 

I am coming to the reunion by myself.  Will I have to room with someone?
No – we will not assign you a roommate for the weekend.  If you wish to room with another alumnus/alumna, please specify so on your reservation form.

I have special housing requirements.  What should I do?
You should note these on the reservation form.  In addition, you may want to call the Alumni Office to discuss your needs with a staff member. 

When do I need to be out of my room?
Checkout time is noon on Sunday for residents of all buildings. 

When will I receive my key deposit refund?
If you turn in your keys while the hospitality center is open, you will receive your key deposit refund at that time.  If you turn in your keys to the Office of Safety and Security, you will receive a check in the mail after the Weekend.

Are there special housing accommodations for families?
Alumni are housed with their reunion classmates in particular residence halls.  For Alumni Weekend 2008, we will designate a few of the College-owned small houses for families with young children, regardless of reunion year.  The reservation form will allow you to specify if you would prefer this special “family housing.”

Are there off-campus housing options?
Wooster has many off-campus lodging options including several B & Bs, a Days Inn, a Best Western, a Hilton Garden Inn, a Rodeway Inn, and a Hampton Inn.  All rooms are available on a first-come, first-served basis.

On-Campus Lodging Amenities

Do you remember arriving at Wooster to find a dorm room with bunked beds, no carpet, no air conditioning, and communal restrooms?  Well, not much has changed!  To help you plan for an on-campus stay, here is a list of items that are and are not provided in the rooms:

The Office of Alumni Relations re-locates to Lowry Center Room 119 for Alumni Weekend.  This room serves as the Alumni Weekend Headquarters.  If someone needs to get in touch with you, they can contact us in Room 119 (330-263-3000, ext. 2786) and we will locate you.

Child-Care

May I bring a child-care provider with me? 
Yes, you may certainly bring a child-care provider with you.  If you reserve on-campus lodging for your family, the College will provide a complimentary room next to yours, for your child-care provider.

What will my children do while I am at class events?
Alumni Weekend is a family affair!  We encourage alumni to bring their children to Wooster for the weekend, and to class reunion events.  For alumni who typically come back with children (10th, 15th, 20thn and 25th reunion classes) we do our best to plan events with venues, activities, and menus that are child-friendly.  

What is “Camp Woo”?
Camp Woo is a child-oriented program for toilet-trained children ages 3 – 10.  There are three sessions of Camp Woo offered throughout the weekend:
Friday night from 6 – 10 pm;
Saturday morning from 9 – 11:30 am; and
Saturday night from 6 – 10 pm. 
Planned and operated by The College of Wooster’s Nursery School staff, Camp Woo participants play games, make crafts, go on a scavenger hunt, learn about the bagpipes, bowl at Scot Lanes, and watch a G-rated movie. 

What is the “Tweens and Teens” program?
In conjunction with the Office of Alumni Relations, Wooster’s Office of Admissions conducts the Tween and Teens program for junior-high and high school aged children.  On Friday evening, teens are invited to Scot Lanes for games, bowling, pizza, and sodas with Admissions staff and current College students.  On Saturday morning, teens are invited to the Gault Admissions Center for an informational session on college preparation and the college search process.  Campus tours are also offered at this time.  Saturday evening, the Alumni Weekend staff (young professional staff and current COW students) will accompany the group off-campus for dinner and games (mini-golf, laser tag, etc.).

Travel and Parking

Are there shuttles available to and from the Cleveland airport?
Yes, scheduled shuttles are available.  You may reserve your spot on an airport shuttle on your reservation form.  The shuttle schedule is:
Thursday and Friday – Three trips each day from Cleveland Hopkins Airport to Wooster.  Depart Cleveland at 11 am, 3 pm, and 6 pm
Saturday – Two trips from Cleveland Hopkins Airport to Wooster.
Depart Cleveland at 9 am and 1 pm.
Sunday – Three trips from Wooster to Cleveland Hopkins Airport. 
Depart College at 7:30 am, 10:30 am, and 1 pm (8:45 am, 11:45 am, and 2:15 pm arrival at airport, respectively.) 

What if my flight is delayed and I miss my shuttle?
If you have reserved a place on one of the shuttles, you will be provided with one or two phone numbers/names of Alumni Weekend staff to call if you miss that shuttle.  Alternate arrangements can be made.  In some cases, you may need to wait until the next shuttle departs for Wooster.  If you have missed the last shuttle of the day, arrangements can be made to pick you up individually.

Are there shuttles available to and from any other Ohio airports?
Due to the number of Ohio airports, we limit our shuttle service to Cleveland Hopkins Airport only. 

What other options do I have for travel between an airport and Wooster?
You may choose to rent a car, schedule a taxi/driving service, or make arrangements to carpool with other alumni.

Where should I park while on campus?
Alumni and guests may park in any legal parking space on campus.  Handicapped parking spaces are located in each parking lot.

Will I need a parking permit?
No, parking permits are not needed during Alumni Weekend.  Much of our signage indicates that particular parking lots/spaces are designated for visitors, staff, or students and that parking permits are required.  During Alumni Weekend, these regulations are waived.  Wooster’s Office of Safety and Security does, however, ticket vehicles that are parked illegally (in a handicapped spot without a pass, in a fire lane, etc.)  Please note that city ordinances are in effect for street parking. 

I will need assistance getting around campus.  Are there any services available?
Golf carts, driven by trained College of Wooster students, will be available throughout the weekend to assist guests in getting around the campus.

Arrival

Where do I go when I arrive on campus?
Your first stop should be at the Hospitality Center in the main lobby of Lowry Center.  There you will receive a packet containing your nametag(s), ticket(s), an updated schedule, and other information needed for the Weekend.  Keys for on-campus lodging may also be picked up at the Hospitality Center.

What if I arrive on campus after the hospitality center has closed?  How will I get my room key?
After the hospitality center has closed you may pick up your room key in the Office of Safety and Security.  The Office of Safety and Security is located in Culbertson House (moved from its foundation to a new location) just east of the Longbrake Student Wellness Center on Wayne Avenue.
